Summary:
Seeking a bilingual receptionist fluent in both English and Spanish. The ideal candidate should be friendly, professional, and possess excellent communication skills in both languages. As a receptionist, you will be the first point of contact for clients and visitors, therefore, providing exceptional customer service and maintaining a welcoming and courteous attitude is essential.

Responsibilities:

  • Phone Reception and Handling:
    • Answer and direct phone calls in English and Spanish, providing basic information and transferring calls to the appropriate individuals or departments.
    • Take accurate messages and relay them promptly to the relevant staff.
    • Handle client inquiries and questions, providing accurate and courteous information.
  • Front Desk and Visitor Management:
    • Greet visitors and clients in a warm and professional manner.
    • Verify visitor identities, maintain visitor logs, and issue visitor badges as required.
    • Assist clients with filling out necessary forms and provide guidance on appointment scheduling.
  • Administrative Support:
    • Provide general administrative support to the law firm, including photocopying, faxing, scanning, and filing documents.
    • Assist with scheduling appointments, meetings, and conference room bookings.
    • Manage incoming and outgoing mail and packages, ensuring proper distribution.
  • Language Interpretation and Translation:
    • Act as an interpreter for clients and staff during meetings or phone conversations when necessary.
    • Assist with translating documents, correspondence, and legal materials from English to Spanish and vice versa.
  • Office Maintenance and Supplies:
    • Maintain the reception area, ensuring it is clean, organized, and presentable at all times.
    • Monitor and replenish office supplies, such as stationery, forms, and other necessary materials.

Requirements:

  • High school diploma or equivalent.
  • Fluent in both English and Spanish (spoken and written).
  • Previous experience in a receptionist or customer service role is preferred.
  • Strong interpersonal and communication skills.
  • Professional and courteous demeanor.
  • Ability to multitask, prioritize, and handle a fast-paced environment.
  • Proficiency in using office equipment, such as phone systems, copiers, and scanners.
