Job Description

Job Title:  Event & Conference Planner

Job Type: Flexible, within standard Monday thru Friday 8:00 AM to 5:00 PM work week. Event specific, non-standard hours are periodically required. Some travel required.

Salary Range: Salary commensurate with non-profit organization of this size; contingent on qualifications, experience, and hours committed to work as determined by applicant and management.

Preferred Qualifications

  • Experience in Event Planning, Marketing, and Communications. Prefer proven experience in a related field, with a track record in a fast-paced, production environment;
  • Manufacturing industry or corporate event planning experience a strong plus
  • Tradeshow and Conference experience preferred
  • Excellent written and verbal communication skills with strong attention to detail
  • Skilled in project management: must be highly organized, proactive, detail and deadline oriented with ability to handle multiple priorities at once.
  • Strong negotiation skills
  • A knack for problem-solving
  • Customer-service orientation
  • A team player with leadership skills
  • Must be highly fluent in Microsoft Office Suite
  • Driver's license required; ability to drive and run errands as needed for events including shipping items
  • Must have ability to lift up to 30 lbs


Position Summary

IMA is seeking an experienced and highly organized Event & Conference Planner to produce events from conception through completion. Our ideal candidate will be able to provide outstanding customer service and organize corporate events that meet the intended goals and expectations both creatively and consistently.

The candidate must be able to work well within time limits to plan, resource, and oversee the events. Excellent people skills are a must. The abilities to multitask and prioritize are essential, as this role involves overseeing facilities as well as details such as set-up, catering, location, invitee list, special guests, equipment, promotional material, etc.

This role may also produce live and pre-recorded internal and external webinars and online events. The ideal candidate has experience with virtual meeting technologies and must also have strong written and verbal communication skills, as well as strong attention to detail and project tracking.

The candidate must have a proven track record of directly interfacing with suppliers, understanding and working within corporate guidelines and planning and managing all logistics related to the planning and execution of trade shows, conferences, workshops, site tours and meetings. Responsibilities will include task management for multiple projects, working with vendors and coordinating logistics.

This individual will be expected to become knowledgeable about the general manufacturing industry including terminology.

Major Responsibilities

  • Oversee the organization event calendar in conjunction with the IMA team
  • Oversee planning and execution of conferences, meetings, workshops, site tours and other events as needed both in-person and virtual
  • Negotiate prices with vendors, manage event budget
  • Manage speaker placements for conferences and/or speaking engagements
  • Manage industry associations partnerships and joint events
  • Manage event marketing in collaboration with the team
  • Manage webcasts from conception to execution including marketing and speaker preparations
  • Coordinate with internal team, vendors and others to establish needs for events and serve as liaison to senior level executives throughout the planning process
  • Managing set-up, tear-down, and clean-up operations
  • Stay current and ahead of the curve, on event planning, design, and production trends
