Job Summary: We are seeking a highly organized and proactive Administrative Assistant to support our team. The ideal candidate will provide essential administrative and clerical support, ensuring the smooth and efficient operation of the office. This role requires a detail-oriented individual with excellent communication skills and the ability to manage multiple tasks.

Key Responsibilities:

  • Office Management:

    • Manage daily office operations, including handling correspondence, filing, and record-keeping.
    • Maintain office supplies and equipment, ensuring everything is well-stocked and in working order.
    • Coordinate office maintenance and repairs as needed.
  • Scheduling and Coordination:

    • Manage and organize schedules, appointments, and meetings for the team.
    • Coordinate travel arrangements and itineraries for staff members.
    • Prepare meeting agendas, take minutes, and distribute follow-up actions.
  • Communication:

    • Serve as the first point of contact for clients and visitors, providing a welcoming and professional experience.
    • Handle incoming calls, emails, and inquiries, directing them to the appropriate team members.
    • Draft and proofread correspondence, reports, and presentations.
  • Administrative Support:

    • Assist in preparing and organizing documents, reports, and presentations.
    • Support the team with various administrative tasks, such as data entry, expense reporting, and project management.
    • Maintain and update client databases and contact lists.
  • Event Planning:

    • Assist in planning and coordinating company events, workshops, and conferences.
    • Handle logistics, including venue booking, catering arrangements, and participant communication.

Qualifications:

  • High School Diploma or equivalent; Associate Degree or higher in Business Administration or a related field is preferred.
  • Proven experience as an Administrative Assistant or in a similar administrative role.
  • Excellent organizational and time management skills.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to multitask and prioritize tasks effectively.
  • Detail-oriented and able to maintain confidentiality.
  • Familiarity with office equipment and basic troubleshooting.

Preferred Skills:

  • Experience in the coaching and consulting industry.
  • Knowledge of CRM software and project management tools.
  • Basic understanding of bookkeeping and financial reporting.
