Your ability to ensure smooth and efficient daily operations under the guidance of our Director of Operations is essential to this position. The ideal candidate will be able to multi-task while managing their workload, be adaptable and flexible with changing priorities.  

This role is well-suited to a detailed oriented and well-organized individual with strong written, verbal communication skills and solid project management skills who enjoys working autonomously and within a team environment.  Ideally you will have experience with basic accounting principles, common operating systems and be software proficient.

JOB SUMMARY

Reporting to the Sr. Director, Operations, the Operations Support Administrator provides administrative support to the accounting, finance and payroll functions, including the timely and accurate processing of payables, payroll and invoicing.

 

RESPONSIBILITIES

  • Administer Accounts Payable and Expense tracking, monitoring the receipt process
  • Files invoices and receipts appropriately and tracks bi-monthly expenses, including account codes.
  • Manages the banking information for staff and vendors, ensuring banking information is complete and up to date, following up with the parties to obtain information as needed.
  • Monitors account codes, checking receipt descriptions/details, and confirms that each payment is allocated correctly.
  • Assists with budget details and budget allocation
  • Creates invoices in QuickBooks Online for the services provided
  • Maintains employee vacation records for payroll purposes.
  • Administers Payroll, including onboarding new employees and offboarding terminated employees in the payroll system, updating and changing employee information, as required, and processing payroll in a timely and accurate manner.
  • Undertakes training new staff members on SOY’s Expense policy and process.
  • Oversee and administer the Achievement Incentive (AI) process, including maintaining records, matching payments, creating invoices, and expiring outdated payments when needed, to ensure timely and accurate processing
  • Other duties as assigned.

 

EDUCATION AND EXPERIENCE

  • At least 1-2 years of work experience in Accounts Payable and/or Receivables.
  • Prior experience processing Payroll is an asset
  • Post-secondary certificate, diploma or degree in Finance, Accounting, Business Administration or Commerce is an asset.

 

KNOWLEDGE, SKILLS AND ABILITIES

  • Attention to detail and accuracy for working with the processing and analysis of financial information and payments.
  • Aptitude for working with numbers.
  • Solid organizational skills, ability to manage multiple tasks and deliverables.
  • Good time management skills, necessary to meet tight timelines.
  • Able to manage stress from timelines and deliverables
  • Proficient communication skills, able to communicate effectively and clearly in both written and verbal communications.
  • Possesses a Growth mindset, seeks learning opportunities, is open to change and willing to take on new tasks.
  • Proficient in MS Outlook, with expert-level knowledge in Excel.

  

ADDITIONAL REQUIREMENTS:

  • Must be legally entitled to work in Canada in accordance with relevant Ontario legislation and regulations.
  • Valid G Driver’s licence, reliable vehicle and valid insurance.

 

WORKING CONDITIONS

  • Five-day work week (Monday to Friday), with flexible start and end times.
  • Hybrid working environment
  • Must have a valid driver’s license, reliable vehicle, and insurance.
  • Ability to move, lift and carry up to 20 pounds independently.
