Foyer Père Fiset is a Long-Term Care Home located in Chéticamp, NS—a vibrant French-speaking community along Cape Breton’s Musical Coast, nestled at the foot of Cape Breton Highlands National Park and the Cabot Trail.

 

We are seeking a Finance & Administration Assistant to join our team. Reporting to the Administrator – Service & Operations, this role is responsible for managing financial operations and administrative support functions within the facility.

 

 

What we offer:

  • Salary $50,000 - $56,000/year

Key Responsibilities:

  • Ensure financial transactions align with Generally Accepted Accounting Principles (GAAP) and facility policies.
  •  Process and maintain revenue records, including:

o          Creating Revenue Journals and Pre-Authorized Debit (PAD) agreements

o          Entering resident revenue and bank deposits into SAGE

  • Administer payroll functions, including:

o          Inputting payroll hours into ADP and verifying accuracy

o          Cross-checking payroll data with team members

o          Assuring timely processing and administration of employee payroll, benefits, and pension plan.

  • Manage accounts receivable:

o          Generate and distribute resident invoices (MS Word)

o          Communicate billing procedures with residents and families

o          Process monthly claims for MRI and special needs payments

  • Handle accounts payable:

o          Code and enter vendor invoices

o          Process vendor payments via manual cheque

o          Maintain records of accounts payable and accrued liabilities

  • Maintain employee records, including:

o          Timekeeping and scheduling, resolving enquires from employees

o          Administering vacation entitlements and holiday pay

o          Coordinating employee payroll, benefits, and pension plans

  • Provide reception and administrative support, including:

o          Answering phone calls and directing inquiries to the appropriate department

o          Greeting and assisting residents, families, staff, and visitors

o          Managing incoming and outgoing correspondence, including mail and email

  • Reconcile and analyze general ledger accounts.
  • Develop and maintain an organized filing system for financial, employee, and resident records.
  • Open mail and prepare monthly bank deposits.
  • Address inquiries from employees regarding payroll, timesheets, and benefits.
  • Communicate with suppliers regarding purchasing transactions and invoice discrepancies.

Qualifications

  • Diploma or Degree in Business Administration, Finance, or Accounting from an accredited institution.
  • Minimum 3 years of experience in financial administration.
  • Proficiency with SAGE accounting software and payroll systems (Workforce Now experience is an asset).
  • Strong knowledge of Microsoft Office Suite (Excel, Word, Outlook).
  • Experience in benefits and pension administration.
  • Excellent time management, organization, and attention to detail.
  • Ability to work independently and adapt to changing work environments.
  • Bilingualism (French & English) is an asset.

The Corporation is comprised of four (4) separate entities: two (2) Long Term Care Homes; Inverary Manor, (located in Inverness, NS) and Foyer Père Fiset (located in Cheticamp, NS) and two (2) Small Option Homes; Koster Huis (Mabou, NS) and Port Hood Small Options (Port Hood, NS).

Foyer Père Fiset is a 71-bed long-term care facility (10 which are RCF level and 1 respite room) located in Chéticamp, a traditional Acadian fishing village situated along the picturesque Cabot Trail, nestled between the majestic mountains of the Cape Breton Island highlands and the shining waters of the Gulf of St. Lawrence. Construction of a new modern state-of-the-art replacement facility began fall of 2024 and open to residents 2027.
