The File Clerk will be responsible for managing and organizing physical and digital files in accordance with company policies. The ideal candidate will possess excellent organizational skills, attention to detail, and the ability to work independently or as part of a team. **Key Responsibilities:**
- Organize and maintain filing systems (both physical and electronic) to ensure easy retrieval of documents.
- Accurately file documents according to established procedures and guidelines.
- Review and update files to ensure all information is current and accurate.
- Assist in the digitization of physical records and maintain digital filing systems.
- Handle confidential information with integrity and discretion.
- Respond to requests for information and provide assistance in locating files as needed.
- Collaborate with team members and other departments to ensure smooth operations.
- Maintain inventory of file supplies and request additional materials when necessary.
- Perform regular audits of files to ensure compliance with company policies and legal requirements.
- Assist in training new staff on filing procedures and systems.
**Qualifications:**
- High school diploma or equivalent; additional education or certification in office administration is a plus.
- Previous experience in a clerical or administrative role, preferably in a file management capacity.
- Strong organizational skills and attention to detail.
- Proficient in using office software (e.g., MS Office Suite) and filing management systems.
- Excellent communication skills, both written and verbal.
