Purpose of Job

The Finance Specialist ensures financial integrity, accurate student data management, and compliant grant administration for SouthernTech. This position oversees accounting processes, payroll, student information systems, and grant development and reporting in accordance with federal and state law and SouthernTech policies. The role supports operational excellence and data-driven decision-making.

 

Essential Duties and Responsibilities:

Financial Operations

  • Process purchase orders and accounts payable in accordance with district policy and state law.
  • Reconcile bank statements, purchase cards, and treasury accounts.
  • Process payroll and benefits in compliance with regulations.
  • Support Activity Fund and student accounting processes.
  • Assist the Finance Director/District Treasurer as assigned.

Student Information Systems (SIS) Administration & Accounts Receivable

  • Maintain accuracy and integrity of student records within Achademix (or applicable SIS).
  • Conduct data integrity checks and prepare required reports.
  • Resolve duplicate records and maintain standardized coding practices.
  • Ensure compliance with FERPA and student privacy regulations.
  • Provide training and support to staff regarding data entry and system procedures.
  • Collaborate with IT and vendors to address system updates or technical issues.
  • Invoice and work toward collecting on monies owed to Southern Tech.
  • Add or adjust charges as necessary.
  • Preparation and reporting for 1098T

Grant Writing & Grant Administration

  • Research and identify grant opportunities aligned with district priorities.
  • Develop, write, and submit grant applications, including narratives and budgets.
  • Monitor awarded grants for compliance with funding requirements.
  • Track expenditures and prepare required financial and programmatic reports.
  • Maintain documentation for audits and monitoring.
  • Coordinate grant closeout procedures.

Continuous Improvement & Professional Responsibilities

  • Support SouthernTech quality initiatives and strategic plan implementation.
  • Recommend improvements to financial and data management processes.
  • Maintain confidentiality of financial and student information.
  • Communicate effectively with stakeholders.
  • Perform other duties as assigned.

 

Organizational Relationships:

Reports to: Finance Director/District Treasurer as assigned

 

Qualifications:

Education & Experience:

High school diploma or equivalent required, Associate degree preferred. Minimum three (3) years of progressively responsible experience in accounting, finance, student information systems, grant administration, or related field required. Experience in a school or governmental setting preferred. Must obtain and maintain required Encumbrance Clerk certification.

Knowledge and Skills:

Strong analytical and organizational skills. High attention to detail. Working knowledge of governmental accounting and grant compliance. Knowledge of FERPA and data privacy laws. Proficiency in Microsoft Office and data systems. Ability to manage multiple priorities and meet deadlines.

 

Physical and Work Environment

Primarily office environment with prolonged sitting and computer use. Occasional lifting up to 25 pounds. Ability to operate a school vehicle if required.
