JOB SUMMARY: 

Creative Saskatchewan is seeking an Executive Liaison to support the CEO and leadership team in driving the Agency’s mission forward. In this role, you’ll coordinate Board and committee meetings, record minutes, and provide administrative and project support across the organization. As a key connector within the Agency, you’ll help ensure smooth operations and contribute to initiatives that strengthen Creative Saskatchewan’s impact.

Most importantly, you’re enthusiastic about supporting a small, dedicated team, lending your skills across a variety of administrative tasks and helping ensure the office runs smoothly.

RESPONSIBILITIES:   

This position works within the policies established by the Creative Saskatchewan Board of Directors to ensure effective, accurate, and efficient administration of the numerous activities of the Agency. Duties will include, but not be limited to, the following: 

Board Support: 

  • Attend and coordinate all Board and Committee meetings (three meetings per quarter and as needed);
  • Set meeting dates;
  • Process e-votes;
  • Prepare meeting minutes within prescribed time-frames;
  • Work with the Board Chair and CEO to prepare all materials for agenda packages and upload files to the board portal;
  • Maintain board and committee annual work plans;
  • Prepare meeting rooms, including technical set-up, catering needs and take-down; 
  • Prepare electronic meeting methods including sending Zoom invites and Microsoft Outlook Calendar invites and doodle polls; and
  • Process Board Members expense claims.

Records Management:

  • Organize, maintain, and dispose of required electronic and paper records according to the Government of Saskatchewan, Provincial Archives, & Government Records Center)

 

Administrative support:

  • Manage the CEO’s calendar; 
  • Provide administrative support to the CEO including booking meetings; responding to emails, and writing correspondence; 
  • Provide administrative support to the Program Team, such as booking meetings;
  • Order office supplies andoversee receipt of goods;  
  • Assist/support staff with their respective duties, such as providing event and program assistanceassisting with research and information gathering; and  
  • Book flights and hotels for staff, Board, and clients/stakeholders as required. 

Reception & Front-Line Support:

  • Serve as the first point of contact at the front reception area, greeting visitors and providing a welcoming, professional presence; 
  • Monitor and respond to the Agency’s general phone line and email inbox, offering polite and helpful assistance;
  • Assess incoming questions and connect callers, visitors, and email inquiries to the appropriate department or staff member; 
  • Manage the office lock box, sort and distribute incoming mail, and ensure outgoing mail is prepared appropriatelyand 
  • Welcome guests arriving for meetings, notify the appropriate staff member, and ensure visitors are comfortably directed to the waiting area as needed. 

 

KNOWLEDGE, SKILLS & ABILITIES:  
The Executive Liaison requires knowledge, skills and abilities in the following areas to be successful:    

  • Project management (as an individual and as part of a team)
  • Verbal and written communication  
  • Records management   
  • Detail oriented and highly organized  
  • Ability to multitask and prioritize   
  • Excellent note taking skills  
  • Solutions-oriented approach to troubleshooting issues  
  • Outstanding customer service with a positive outlook 
  • Knowledge of Microsoft 365 including SharePoint 

The following may be considered an asset in this role, but are not a requirement to apply: 

  • Experience supporting a Board of Directors, governance body, or executive leadership team. 
  • Previous work in the creative industries or in a public agency, nonprofit, or cultural organization. 
  • Familiarity with project management tools or workflow platforms (e.g., Asana, Trello, SharePoint workflows). 
  • Experience organizing events, workshops, or multi-stakeholder meetings. 
  • Comfort working with digital record-keeping systems or board management software. 
  • Knowledge of Saskatchewan’s creative sector ecosystem and its key stakeholders. 
  • Post-secondary training in administration, business, communications, or a related field.
