JOB SUMMARY:  

The Program Coordinator assists the Program Department of Creative Saskatchewan (the “Agency”) with the delivery of the Agency’s programs.

RESPONSIBILITIES:  

Duties will include, but not be limited to, the following: 

Programs Support 

  • Coordinate grant program assessment panels; 
  • Assist with grant recipient communications and follow-up; 
  • Compile results of grants assessment panels and communicate results to applicants; 
  • Assist the program department with day-to-day needs such as booking meetings, triaging emails, and other coordination support;  
  • Conduct research and extract data from applicant files to measure KPIs; 
  • Coordinate the operation and improvement of the Agency’s online Grant Management System (GMS) as a system administrator; 
  • Review incoming grant applications and final reports; 
  • Assist with administrative tasks; 
  • Coordinate and assist the Program Department with both live events and online webinars; 
  • Front-line client engagement (phone calls and walk-ins); 
  • Capture minutes and action items in team meetings; 
  • Respond to day-to-day office needs; 
  • Assist in the implementation of the agency’s IDEA (Inclusivity, Diversity, Equity, and Accessibility) strategy; and 
  • Attend industry events on behalf of the Program Department from time to time. 

 

KNOWLEDGE, SKILLS & ABILITIES:  

The Program Coordinator requires knowledge, skills and abilities in the following areas to be successful:  

  • Ability to work on a diverse and inclusive team serving clients, both from a variety of lived and professional experiences. 
  • Ability to work independently in a shared office environment. 
  • Ability to visualize long-term deadlines, stay motived, and on track. 
  • Basic proofreading skills. 
  • Capacity to track and manage concurrent deadlines. 
  • Critical thinking, creative problem-solving, and risk mitigation skills. 
  • Customer/client service experience. 
  • Emotional intelligence. 
  • Flexibility and adaptability. 
  • Interest in the creative industries (Book Publishing, Craft & Visual Arts, Digital Game Development, Live Performing Arts, and Music) and desire to learn more. 
  • Knowledge of basic office procedures (booking travel, submitting invoices, building a budget, sending professional correspondence, etc.) 
  • Project management (as an individual and as part of a team). 
  • Schedule and meeting management skills. 
  • Proficiency with Microsoft Office suite (Outlook, Excel and Word are a requirement; Bookings, Planner, Loop, Teams, and OneNote are an asset), Adobe Acrobat and Records Management software. 
  • Organized and accountable. 
  • Task prioritization and initiation skills. 
  • Understanding that procedures and technology are consistently evolving and improving. 
  • Verbal and written communication skills. 

The following may be considered an asset in this role, but are not a requirement to apply:

  • Fluency in an Indigenous language and/or French. 
  • Formal education and/or professional experience in the creative industries. 
  • Formal education and/or professional experience in office administration. 
  • Prior experience working in a hybrid office environment.
