Position Summary

We are seeking a highly organized, proactive, and service-oriented Coordinator, Events to lead the execution of our robust events portfolio.

This role is central to delivering exceptional experiences that reflect the Chamber’s brand and value to members. The Coordinator will manage the planning and execution of 40-50 events annually, ensuring operational excellence, strong partner engagement, and alignment with revenue and strategic objectives.

Key Responsibilities

Event Planning & Execution

  • Lead end-to-end execution of all Chamber events, including on-site management
  • Oversee event setup, registration flow, and guest experience
  • Conduct post-event evaluations to support continuous improvement

Revenue & Partner Fulfillment

  • Work closely with the Manager, Operations to meet event revenue targets
  • Ensure all sponsorship and partnership commitments are delivered to a high standard
  • Maintain strong, professional relationships with partners and stakeholders

Operations & Logistics

  • Manage event registration through CRM systems and track attendance metrics
  • Coordinate all venue logistics including catering, AV, and room setup
  • Ensure compliance with health, safety, and accessibility standards

Communications & Coordination

  • Support development of event marketing materials and communications
  • Liaise with speakers to coordinate logistics (travel, presentations, AV needs)
  • Maintain clear and timely communication with venues, partners, and internal teams
  • Manage all event documentation including run-of-show and follow-ups

Financial & Administrative Oversight

  • Monitor event budgets and ensure cost control
  • Procure event-related supplies within approved budgets
  • Maintain accurate records and reporting for all events

Qualifications & Experience

  • Post-secondary education in Event Management, Marketing, or related field (preferred)
  • 2–3 years of event coordination or related experience
  • Experience managing multiple projects and stakeholders simultaneously
  • Proficiency in Microsoft Office (Word, Excel, Outlook); CRM experience an asset
  • Valid driver’s license and access to a reliable vehicle
  • Ability to lift up to 13 kg unassisted
