Position Summary

Reporting to the Service Manager, as our Appointment Coordinator, you are the first point of contact for Burlington Hyundai guests. You ensure every customer feels welcomed, supported, and confident in their service experience. You’ll manage appointment scheduling, maintain accurate records, and support the Service Manager and Advisors in delivering exceptional guest care.

What You’ll Do

• Warmly greet and assist incoming service guests
• Answer and direct incoming calls with professionalism and a smile in your voice
• Schedule and confirm service appointments based on maintenance schedules and guest needs
• Maximize shop efficiency through thoughtful appointment planning
• Document all guest interactions and details in the CRM and DMS
• Contact guests regarding reminders, recalls, campaigns, postponed maintenance, and missed appointments
• Maintain accurate customer records and support service advisors with detailed notes and follow-up
• Report guest concerns or suggestions to the Service Manager
• Assist with filing, mail-outs, and general administrative tasks
• Maintain a clean, organized workstation

What You Bring

• Experience with SERTI software is an asset
• Excellent communication and interpersonal skills
• Strong organizational abilities and high attention to detail
• Comfort with scheduling software and basic computer applications
• Previous customer service or administrative experience (automotive experience is an asset)
• A positive, team-oriented attitude
• Ability to multitask in a fast-paced environment
• Dependability, punctuality, and strong time management

Hours of Work

Our dealership operates Monday through Saturday. This full-time role requires a minimum of 40 hours per week during general business hours.
