Purpose of Job:         Provides quality office professional assistance and clerical support for full time instructional program Heavy Equipment Operation (HEO) & secondarily for other departments as directed.

 

Major Duties, Tasks, and Responsibilities

          

Essential Functions of the Job:

  1. Supports and promotes the SouthernTech adopted quality initiatives including the Baldrige criteria, Oklahoma Quality Award Foundation criteria, Tech Centers That Work, and Lean Office.
  2. Recommends new approaches, policies, and procedures to effect continuous improvements in services to customers.
  3. Supports and assists in the development and execution of the SouthernTech strategic plan.
  4. Provide quality assistance to full time instructional programs
    1. Assist the organization, including Directors, Instructors, and Student Services with instructional activities
    2. Follow the industry standards concerning safety and quality of work.
    3. Maintain discipline in regard to SouthernTech Policy and the rules and regulations set forth for the program.
  5. Coordinate and communicate daily assignments/activities with program instructors.
    1. Proctor AYES & ASE Alliance tests, grade papers, copy papers, type various documents, and file.
    2. Sub for Full Time Programs, if needed.
    3. Fill in for front desk as needed.
    4. Utilize CTSIS as a tool for development of instructional materials.
    5. Create and upload instructional materials into LMS-CANVAS.
    6. Assist Student Services, SouthernTech student enrollment, and Student Leadership.
    7. Coordinate Skills USA contest & assist instructors with preparation for contests.
    8. Assist instructors with bids, quotes, and NATEF, ASE Alliance, & other program certifications and Re-certifications.
  6. Cross Train for flexibility in other departments.
  7. Type and design general correspondence, memos, charts, tables, and graphs.
  8. Communicate effectively with SouthernTech customers/students/staff and answer questions or directs calls to the appropriate person or responds independently in a timely manner.
  9. Handle confidential and non-routine information.
  10. Create and maintain database and spreadsheet files.
  11. Prioritize and execute multiple tasks and projects.

  1. Perform other tasks and assume other duties and responsibilities as assigned.

Education, Knowledge, Skill, & Experience Requirements:

Education and Experience:

  1. High School Diploma, Associates preferred
  2. Computer Training – Career Tech Certificate preferred
  3. 1-2 years’ experience in heavy equipment operation.
  4. NCCER HEO certification preferred

 

Knowledge and Skills:

  1. Ability to effectively communicate in person and over the phone and analyze the next step in customer service response.
  2. Ability to effectively present information and respond to questions from groups of customers, students, and staff.
  3. Working knowledge of computerized office programs.
  4. Ability to apply common sense understanding to carry out detailed written or oral instructions. Ability to deal with problems involving concrete variables in standardized situations.
  5. Ability to use proper grammar in both spoken and written form and construct clear written communication that is understandable and consistent with the rules of English.
  6. Ability to write documents and effectively present information.
  7. Defines problems, collects data, establish facts, and draw valid conclusions.
  8. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with several abstract and concrete variables.
  9. Implements, facilitates, and completes multiple projects in a timely and efficient manner.
  10. Ability to function professionally during high stress situations.

Physical Requirements:

  1. Sit for extended periods, stand and walk as required in classrooms.
  2. Manipulate computer keyboard.
  3. Keen hearing: (ability to listen to others)
  4. Vision: Close and distance vision required.
  5. Be able to communicate.
  6. Be able to properly and legally operate a school vehicle as required to travel on behalf of the district.
  7. Regularly lifts up to 25 lbs., occasionally may push pull up to 100 lbs. & lift up to 75 lbs.
  8. Ability to bend, stoop, kneel & climb.

 

Work Environment:

 

Primarily a classroom/shop environment; walking and working with students and staff.  Secondarily, outdoors on a simulated construction site working on or near moving mechanical equipment, around fumes or airborne particles, working around loud noises associated with construction/maintenance machinery or equipment, and in outdoor weather conditions.
