INTELLIGENT OFFICE OAKVILLE

Community Operations Manager

Full-time  ·  Monday–Friday  ·  On-site, Oakville

About This Opportunity

At Intelligent Office Oakville, we do more than rent desks and boardrooms — we build a professional community where entrepreneurs and growing businesses feel genuinely supported. We're looking for a Community Operations Lead who understands that the best client experience is built on relationships, not just procedures.

If you thrive in a people-first environment, love creating the kind of space where members want to spend their day, and can keep operations running seamlessly behind the scenes — this role was built for you.

What Your Days Look Like

Creating an Exceptional Member Experience

  • Be the welcoming face of the centre for members, virtual clients, and guests
  • Guide new members through onboarding and ensure they feel at home from day one
  • Anticipate client needs, resolve concerns proactively, and build lasting relationships
  • Ensure every space — meeting rooms, offices, common areas — reflects our premium standard

Keeping the Centre Running Smoothly

  • Manage day-to-day operations so members never have to worry about logistics
  • Coordinate vendors, maintenance, supplies, and building needs
  • Lead administrative workflows, mail handling, phone services, and client communications
  • Support invoicing, reporting, and bookkeeping coordination
  • Develop and maintain procedures that make everything work better

Growing the Community

  • Welcome prospective members with engaging tours and genuine conversations about their needs
  • Identify opportunities to improve occupancy, retention, and member satisfaction
  • Organize and support networking events and community initiatives
  • Build relationships that turn clients into long-term community members

Leading the Team

  • Support, guide, and develop a small administrative and client service team
  • Set priorities, delegate effectively, and maintain service standards
  • Create a positive, energized workplace culture for your team

Compensation

  • Base salary: $60,000 – $70,000 annually
  • Performance bonuses and sales commissions
  • Long-term growth and leadership opportunities

What We Are Looking For

Required Background

  • 3+ years in a client-facing operational role — coworking, hospitality, property management, executive suites, or similar
  • A natural ability to balance operational detail with warm, attentive client service
  • Experience with scheduling, invoicing, and administrative coordination
  • Strong communicator who builds trust quickly with a wide range of people
  • Post-secondary education in business, hospitality, or related field preferred

Nice to Have

  • Direct experience in coworking, flexible workspace, or serviced office environments
  • Team leadership or supervisory experience
  • Comfort with QuickBooks, CRM tools, Google Workspace, Microsoft Office
  • Background in member retention, account management, or community programming

This Role Is Made For You If...

  • You walk into a room and immediately think about how to make it better for the people in it
  • You're organized and detail-oriented, but people would never describe you as rigid
  • You solve problems before they become complaints
  • You take pride in your environment and the experience you create
  • You want a role where your personality and your professionalism both matter

Why Join Us

  • Be part of a vibrant entrepreneurial community in a modern Oakville location
  • A role with real variety — no two days are exactly the same
  • Leadership that values your ideas and supports your growth
  • The chance to shape the culture of a place people genuinely love coming to
