JOB SUMMARY 

Reporting to the Director of Partnerships & Stakeholder Relations, the Program & Partnerships Administrative Assistant provides administrative and operational support primarily to the Programs and Partnerships teams. 

The position supports the coordination of administrative processes, documentation, communications, records management, reporting, and operational activities to promote effective service delivery and day-to-day operations within these functions. 

Additional administrative and operational support may be provided across other departments and organizational initiatives as directed and in response to evolving organizational, funding and program requirements.   

RESPONSIBILITIES 

Administrative and Operational Support 

  • Provide administrative and operational support primarily to the Partnerships and Programs team. 
  • Coordinate calendars, meetings, correspondence, records, filing systems, documentation, and general administrative workflows. 
  • Prepare, organize, and maintain reports, presentations, meeting materials, summaries, and internal and external communications. 
  • Maintain accurate records, databases, CRM systems, and supporting documentation. 

Coordination and Project Support 

  • Coordinate and support meetings, projects, events, outreach activities, and operational initiatives by organizing resources, tracking timelines, and supporting follow-through. 
  • Support onboarding, registration, document collection, and administrative processes related to Program & Partnership activities as required. 
  • Assist with reporting inputs, activity tracking, and information gathering to support operational and organizational requirements. 

 

Cross-Functional Support 

  • Provide administrative support to other departments, teams, or organizational initiatives as directed to support operational continuity and organizational priorities. 
  • Provide backup support during absences, peak periods, and special initiatives. 
  • Participate in organizational events, community engagement activities, workshops, and related functions as required. 

Health & Safety 

  • Comply with organizational health and safety policies and contribute to maintaining a safe and healthy work environment. 

Other 

  • Perform other duties as assigned to support operational success. 

 

EDUCATION AND EXPERIENCE 

  • Post-secondary Degree, Diploma, or Certificate in Business Administration, Office Administration, Human Resources, or a related discipline, or an equivalent combination of education and experience. 
  • Minimum 2–3 years of experience in an administrative, coordination, or operational support role. 
  • Experience working or volunteering within a not-for-profit environment is considered an asset. 
  • Knowledge of skilled trades, workforce development, apprenticeship pathways, or related sectors is considered an asset. 

KNOWLEDGE, SKILLS AND ABILITIES 

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Teams) and ability to learn new systems and technologies. 
  • Ability to organize and prioritize work effectively while balancing primary responsibilities to Programs and Partnerships with additional assignments and competing operational demands as directed. 
  • Ability to coordinate information, maintain records, and support administrative processes with a high degree of accuracy and attention to detail. 
  • Strong written and verbal communication skills and ability to interact professionally with staff, partners, apprentices, employers, stakeholders, and members of the public. 
  • Ability to work independently, organize work effectively, exercise sound judgment within established authority and recognize when direction, collaboration, or escalation is required. 
  • Demonstrated ability to build and maintain effective working relationships and collaborate across teams in support of shared organizational objectives. 
  • Strong problem-solving, critical thinking, and follow-through skills. 
  • Ability to adapt to changing priorities, operational requirements, and evolving organizational needs. 
  • Demonstrated professionalism, discretion, and ability to maintain confidentiality. 

ADDITIONAL REQUIREMENTS 

  • Must be legally entitled to work in Canada in accordance with applicable legislation. 
  • Valid G Driver’s License, reliable vehicle, and valid insurance. 
  • Ability to lift and carry materials up to 20 lbs. 

WORKING CONDITIONS 

  • Five-day work week with flexibility to work occasional evenings, weekends, and overnight travel as operational requirements dictate. 
  • Primarily in-office attendance with remote work opportunities based on operational requirements. 
  • Ability to lift and carry materials up to 20 lbs independently. 

 

Salary: $65,040
