CSA Role Description

Job Title: Client Service Associate

Reports To: Practice Leadership

Job Purpose:

The Client Service Associate (CSA) position is a significant role within our company. The position involves a multitude of client service processes, collaboration with other staff members, providing support for the Financial Advisor/Firm Principal, client interaction and detailed portfolio responsibilities.

Primary Responsibilities:

·        Serve as a primary point of contact for clients, vendors, and external partners, responding to calls and emails promptly and providing excellent service

·        Create, update and complete all relevant tasks via Outlook/CRM integration

·        Prepare, edit, coordinate, and present client correspondence, review materials, reports, forms, presentations, and other firm documents

·        Interact with RJ home office support to develop cooperative relationships and guarantee timely execution of tasks

·        Schedule and coordinate meetings and appointments for advisors and practice leadership

·        Coordinate and book business travel for advisors, including transportation, lodging and itinerary details

·        Oversee facilities management and office equipment, including ordering supplies, maintaining inventory and coordinating service or replacement needs

·        Manage incoming and outgoing mail and other office communications

·        Maintain accurate and organized office files, records, and filing systems

·        Maintain, evaluate, and improve client service, administrative, and general office processes and procedures

·        Understand and adhere to compliance requirements, ensuring the accuracy, integrity, and confidentiality of client and practice information

·        Maintain a reliable office presence and help ensure continuity of client service when advisors or other team members are unavailable

·        Perform other important assignments as requested

Knowledge/Experience/Proficiency Required:

·        CRM/contact management systems

·        Microsoft Outlook (email, calendar, and tasks)

·        Microsoft Office Suite, including Excel and Word

·        Adobe Acrobat and Zoom

·        Ability to learn and effectively use firm-specific technology platforms, including Raymond James Advisor Access and related applications

·        Demonstrate strong organization, prioritization, time management, attention to detail, and follow-through while managing multiple deadlines

·        Communicate clearly and professionally, both verbally and in writing, with team members, clients, vendors, and external partners

·        Demonstrate strong problem-solving skills and sound judgment

·        Actively share ideas and information on firm roles, responsibilities and systems

·        Take ownership of mistakes and work quickly to resolve issues

·        Maintain professional personal and office appearance

·        Have a general interest in financial services and the asset management business

Licenses/Certifications

·        SIE, Series 7, and Series 66 licenses preferred.

·        Exceptional candidates without a desire to pursue licensing may also be considered based on experience, skills, and alignment with the needs of the practice.

·        Candidates who are not currently licensed should have the ability and willingness to obtain required licenses if the role and responsibilities warrant registration.

Compensation

Base Salary: $70,000 - $90,000 annually

Work Environment:

Professional office environment. Appropriate business attire is required. Hours TBD. Minimal travel is required. Tasks are closely governed by policies and procedures. Duties and processes are subject to change and/or update as the business demands.
