Title: Marketing Administrator
Reporting to: Director of Operations and Marketing
Location: 50 Ronson Drive, Suite 180, Etobicoke, ON
Status: Full-time
JOB SUMMARY
Support Ontario Youth (SOY) is seeking a detail-oriented and organized Marketing Administrator to support the day-to-day execution of marketing and communications activities.
Working closely with the Marketing & Communications team, the Marketing Administrator will provide administrative, creative, and coordination support across social media, newsletters, website updates, promotional materials, events, outreach, and special projects. The role will help ensure marketing activities are completed accurately, consistently, and on schedule.
This position is well suited to someone who is organized, comfortable managing multiple tasks, and has an interest in marketing and communications. The Marketing Administrator will work within established marketing processes and Standard Operating Procedures (SOPs), with responsibilities assigned according to current priorities, project timelines, and organizational needs.
The successful candidate will be expected to maintain confidentiality, handle information professionally, and represent Support Ontario Youth in a positive and professional manner when communicating with external contacts.
KEY RESPONSIBILITIES
Marketing & Administrative Support
· Provide day-to-day administrative support to the Marketing & Communications team.
· Assist with organizing marketing files, assets, templates, contact lists, and shared resources.
· Maintain marketing calendars, task lists, and project information as required.
· Assist with coordinating timelines, approvals, and deliverables.
· Support the preparation and distribution of marketing materials.
· Help ensure marketing content and materials follow SOY's brand guidelines and established processes.
· Assist with special marketing projects, campaigns, events, and initiatives as required.
Social Media Support
· Assist with preparing and scheduling social media content across SOY's platforms.
· Populate approved branded templates with content and information.
· Draft or assist with drafting social media captions based on approved messaging.
· Create simple, engaging social media content, including trending Reels and short-form video content.
· Monitor social media channels and assist with responding to comments and messages using approved messaging and FAQs.
· Organize and file social media assets and content.
· Support the Marketing & Communications team with social media research, trends, and content ideas.
Content & Communications Support
· Assist with formatting press releases and other communications materials.
· Support the preparation of newsletters by inputting approved content, formatting, scheduling, and sharing drafts with the appropriate team members for review.
· Assist with flyers, promotional materials, presentations, and other marketing collateral.
· Resize and prepare photos for digital use and remove identifying name tags or other minor visual elements when required.
· Complete basic video editing and formatting for social media and marketing purposes.
· Assist with website content updates and other basic website administration as required.
Podcast Support
· Assist with administrative and coordination tasks related to SOY’s podcast initiatives.
· Research and identify potential podcast guests and relevant industry contacts.
· Conduct guest outreach by email and phone using approved messaging.
· Assist with scheduling, guest communications, and follow-ups.
· Assist with basic content repurposing and organizing podcast content for social media, newsletters, and other marketing channels.
Events & Promotional Support
· Support event-related communications and promotional materials.
· Assist with collecting, organizing, and preparing event photos and other content for marketing purposes.
· Support post-event marketing activities, including content organization and follow-up communications.

· Strong organizational and time-management skills with the ability to manage multiple tasks and deadlines.

· Comfortable speaking with people by phone and conducting professional outreach.
· Comfortable communicating with external organizations, employers, industry partners, and other stakeholders.
· Strong attention to detail and accuracy.
· Ability to work independently while also collaborating with a small marketing team.
· Comfortable learning new software, platforms, and processes.
· Basic knowledge of social media platforms and digital marketing is an asset.
· Basic graphic design, photo editing, or video editing experience is an asset.
· Experience with Canva, Meta Business Suite, email marketing platforms, website content management systems, or similar tools is an asset.
· Interest in the skilled trades, apprenticeship, employment, or workforce development sectors is considered an asset.
EDUCATION & EXPERIENCE
· Post-secondary education or training in Marketing, Communications, Business Administration, Public Relations, or a related field is an asset.
· Previous experience in marketing, communications, administration, customer service, or a related role is an asset.
REQUIREMENTS:
· Must be legally entitled to work in Canada in accordance with relevant Ontario legislation and regulations.
· Valid G Driver’s license, reliable vehicle and valid insurance.
· Ability and flexibility to travel to events across Ontario, including those requiring overnight stays.
· Ability to lift and carry equipment and supplies up to 20 lbs independently.
WORKING CONDITIONS
· Five-day work week (Monday to Friday), with flexible start and end times and occasional evenings, weekends, and overnight stays may be required for events and workshops.
· Hybrid working remotely and with expected travel to the Etobicoke head office, and travel across Ontario for events, meetings and/or site visits
· Flex hours of work to complete special requests or projects.
