We are seeking an experienced Executive Assistant (EA) to support the President and CEO (CEO).  The keys to success in this role are confidence, being proactive, detailed oriented, with the ability to multi-task. 


The EA maintains good working relationships with the EAs of RC’s board and works collaboratively with the management team and staff.  Exercises good judgement in all situations with strong written and verbal communication, administrative, organization and time management skills, along with the ability to maintain a realistic balance among multiple priorities.  The EA is confident and capable of working independently, able to work under pressure at times handle a wide variety of activities and confidential matters with discretion.



General Responsibilities:


  • Manage the CEO’s calls, calendar, schedule, travel, mail, contacts and filing;

  • Organize and submit CEO’s expenses;

  • Greets and interacts with incoming visitors;

  • Oversees all meetings and special events, including room set up and briefing materials;

  • Taking and drafting minutes for distribution;

  • Draft correspondence and briefing;

  • Able to communicate to all levels of the organization in a professional and appropriate manner;

  • Manage budgets in excel: travel, expenses, special projects and events;

  • Create presentations in PowerPoint and Prezi;

  • Provide support to CFO and VP Operations as required.


Secretary to the Board of Directors:


  • Maintain list of directors and contact information;

  • Manage all aspects of board and committee meetings and related budgets, including venue, food, AV and audio, guest rooms, directors’ travel, special events, materials and presentations, and minute taking.




  • Assist CEO with key projects and related management;

  • Working with the Digital team, develop and grow the CEO’s social media channels, including communications with followers and responding to queries;

  • Ability to work overtime as required.



  • Minimum of 10 years in a senior administrative role
  • Proficient in MS Office Suite, and Adobe Pro
  • Positive attitude with the ability to provide exceptional customer service to internal and external stakeholders
  • Strong work ethic, well organized and self-directed individual with exceptional time management skills, including the ability to work under tight deadlines, prioritize and efficiently manage multiple projects
  • Professional with strong judgement, attention to detail and accurate
  • Ability to communicate in French (written and verbal) an asset
