Job Summary:

Our Professional Services Firm is going through an exciting time of growth! As a result, we are looking for an exceptional Executive Assistant (EA) who has experience supporting Senior Management and thrives in a fast-paced and professional environment. The EA will wear a few key hats and will be highly organized, driven to meet deadlines, and able to manage competing priorities. The successful candidate will be an excellent communicator, have experience coordinating and managing general office practices, and be comfortable interacting with customers and team members.

Duties & Responsibilities

• Greeting clients, organizing meetings, managing calendars for Senior Management, ordering and maintaining office supplies, and ensuring office remains well-organized and tidy

• Oversee the execution of marketing initiatives which includes social media messaging (ie. Website, LinkedIn, Facebook, and Twitter), drip campaigns, and other client events

• Work with team in developing and reviewing presentations and engagement documents such as confidential information memorandums (CIM), valuations, and teasers

• Ensure all engagement materials (hard and soft copies) are organized and compiled correctly

• Document and formalize office processes and procedures and maintain standard operating procedures manual

• Maintain CRM which includes managing contact information for clients and strategic partners, soliciting feedback from clients, organizing distribution lists, and emailing newsletters and new opportunities to the appropriate list of contacts

• Generating customer invoices and managing payables as well as gathering receipts and information for the Accountant/Bookkeeper

• Hold team accountable to key engagement deadlines

Minimum Education, Skills and Ability

● 3+ years experience as an Executive Assistant within a highly professional environment

● Post-secondary Degree or Diploma in a relative field of study

● Exceptional interpersonal skills with a high-level of integrity and professionalism

● A self-starter who has advanced problem-solving skills and able to multi-task

● Highly organized and energetic individual with excellent planning and organizational skills

● Strong working knowledge of Word, Excel, and Power Point
